1. Introduction

Starting on the right foot with Cashflow is essential for efficient business management. Before diving into all the features it offers, it's crucial to set up your company's basic information. This first step not only personalizes your experience but also ensures that all generated documents accurately reflect your business identity. From including your logo to regional specifications, every detail counts. In this article, we guide you through these initial adjustments, laying the foundation for all your future processes in Cashflow.

2. Business Information

Setting up your company profile is straightforward. Here's how to do it step by step:

  1. Access the main menu and go to: Settings > Organization > Company Profile.
  2. To add your company logo, click on the camera icon. In the pop-up window, search and select the logo from your computer and click "Open".
  3. In the Company Information section, fill in the fields with details such as the name, slogan, type, ID, and industry of your business.
  4. Under Address/Contact, provide the location and contact details of your company. These details will be displayed on your sales documents.
  5. Finally, click Save to retain all the changes made.

The settings and details you set in your company profile will be reflected in the sales document templates within the system. It is essential to ensure that this information is accurate and up-to-date to guarantee consistency and professionalism in your transactions.

3. Upload Company Logo

If you need to upload your logo or update the one you already have, here's how to do it step by step:

  1. Access the main menu and go to: Settings > Organization > Company Profile.
  2. Click on the camera icon. In the pop-up window, search and select the logo from your computer and click "Open".
  3. Take note that the logo must be in JPG, GIF, PNG format and should not exceed the maximum size: 2MB.
  4. Finally, click Save.

When uploading your company logo, make sure it's in either JPG, GIF, or PNG format. Also, keep the file size under 2MB. Go for a high-quality image to ensure your documents look crisp and professional.

4. Regional Settings

The regional settings allows us to establish specific information for our country or region. To set these settings, go to the main menu and select Settings > Organization > Regional Settings.

  1. Country
    The country defines initial settings based on regulations, norms, and characteristics of that region. Once established, it cannot be modified.
  2. Language
    The default language in the system interface. This setting can be overwritten in the user profile area.
  3. Time Zone
    The time zone in which the company is located. This allows the system to have precise timing.
  4. Currency
    The local currency selected when creating your account in Cashflow determines the base currency for accounting. Once established, it cannot be changed.
  5. Date
    The format in which the date is displayed in the system's areas and documents. E.g., 2024-12-31 or 31/12/2024.
  6. Number
    The format in which amounts and values are displayed in the system. E.g., €1,000.00.
  7. Symbol
    The currency symbol used to represent amounts. E.g., $1,000.00.
  8. Countries
    List of countries accessible in the system's forms.

After setting these parameters, make sure to click "Save" to preserve the changes.

  • Consistency in Information
    Ensure that your company's information is consistent across all platforms and media where it's present. This not only reinforces brand identity but also prevents confusion for clients and partners.

    When uploading your company's logo to Cashflow, always opt for a high-resolution version. Although the file size should not exceed 2MB, it's essential that the logo looks clear and professional on all documents.

  • List of Countries in Forms
    If your company operates in multiple countries or plans to expand, ensure you have all those countries enabled in the "Countries" section. This will simplify the creation of new records and forms related to those regions.

Common Issues

Even though Cashflow has been designed to be an intuitive and user-friendly tool, it's natural to encounter challenges as you familiarize yourself with the system. Here are some common situations you might face and how to address them:

  1. Logo Doesn't Upload
    The issue often arises due to the file format or the size not being suitable. Ensure the logo is in JPG, GIF, or PNG format and doesn't exceed 2MB in size for it to upload correctly.
  2. Outdated Information on Sales Documents
    This issue may arise if you forgot to save changes after editing the information. It's always crucial to click "Save" after making any adjustments to keep document information up-to-date.
  3. Currency or Country Doesn't Display Correctly
    If you find an error in the displayed currency or country, there likely was a mistake in setting the initial regional configuration. It's essential to correctly select the currency and country at the start since they can't be modified later. If you make an error post-creation, we recommend contacting Cashflow support.
  4. Date or Number Format Looks Strange on Documents
    An incorrect date or number format can cause confusion. Make sure to choose the format that best aligns with the norms and customs of your region to maintain consistency in your documents.
  5. Can't Find a Specific Country in the Forms
    If you don't see a particular country in the forms, it might be because it isn't enabled in the available countries list. Visit the "Countries" section in the regional settings and ensure all countries you need are active.
